Who we are

"Janitorial Smart Ops," "JSO," "we," "us," and "our" refer to Janitorial Smart Ops Inc., a private company incorporated in the Province of Alberta, Canada. "You" and "your" refer to the individual or organization using our website, applications, or platform (collectively, the "Service"). If you are using the Service on behalf of a company, "you" also means that company.

What we collect

We only collect information we need to operate the Service. Broadly, that is:

Information you give us directly

Your name, business name, email, phone number, and mailing address when you sign up or contact us.
Payment information when you subscribe. Payment card numbers are processed by Square and Stripe — we never see the full card number.
Information you enter into the platform: clients, locations, staff records, schedules, inspection photos, time entries, and proposals.

Information we collect automatically

Your IP address, browser type, operating system, pages viewed, and the timestamp of each visit (standard server logs).
Device identifiers when you use our mobile or installed PWA.
Approximate GPS location when a staff user clocks in — only while they are clocked in, and only to verify the job site.

Information we do not collect

We do not track you across other websites.
We do not collect sensitive personal information (medical, biometric, political) unless you explicitly enter it.
We do not buy contact lists or scrape social networks.

How we use it

Personal information is used to operate the Service and for nothing else without your consent. Specifically:

To run your account: authentication, access control, session management.
To provide the Service: scheduling, invoicing, inspection reporting, client portals, GPS verification.
To bill you: subscription renewals, receipts, failed-payment notices.
To communicate with you: product updates, service announcements, support responses.
To keep the Service secure: abuse detection, fraud prevention, account recovery.
To improve the Service: anonymized aggregate analytics, with no individual profiling.

We do not use your personal information for targeted advertising, for sale to third parties, or for any automated decision-making with legal effect on you.

Who we share it with

We share personal information only with vetted third-party service providers who need it to help us operate the Service, and only to the extent necessary for them to do their job. These providers fall into the following categories:

Infrastructure providers — for database hosting, web hosting, file storage, and content delivery.
Payment processors — to handle subscription billing, invoicing, and refunds securely. We never see or store full payment card numbers.
Communication providers — for transactional email, SMS, and voice messaging used for account notifications, scheduling reminders, and customer support.
AI and analytics providers — to power features such as proposal generation, contract drafting, and aggregate usage metrics. Your data is not used to train third-party public models.
Security and monitoring providers — for fraud prevention, abuse detection, error tracking, and platform health monitoring.

Every provider is bound by a data-protection agreement and is permitted to use your personal information only to deliver the service we've contracted for. We do not sell personal information to third parties, we do not rent it, and we do not share it with advertisers. We will disclose personal information if required by Canadian law, a valid court order, or to protect the safety, rights, or property of ourselves, our users, or the public.

How we store & protect it

Data is encrypted in transit (TLS 1.2+) and at rest on our database provider. Passwords are hashed using PBKDF2 with per-user salts — we cannot recover your password, only reset it. Authentication is handled by signed session tokens that expire automatically.

We restrict access to personal information to personnel who need it to operate the Service. We keep audit logs of administrative access. In the event of a data breach affecting your personal information, we will notify you and the applicable regulator as required by PIPEDA and Alberta PIPA.

Personal information is stored primarily on servers located in Canada and the United States. By using the Service, you consent to this cross-border storage.

Your rights

Under Canadian privacy law, you have the right to:

Access a copy of the personal information we hold about you.
Correct personal information that is inaccurate or incomplete.
Withdraw consent to specific uses of your personal information (subject to contractual limits).
Request deletion of your personal information when it is no longer needed for the purpose for which it was collected. See our Data Deletion page for the full process.
Complain to us, or to the Office of the Privacy Commissioner of Canada, if you believe we have mishandled your data.

Cookies & tracking

We use a small number of cookies and local-storage tokens that are strictly necessary to keep you signed in and to remember your preferences. We use Google Analytics with IP anonymization enabled to understand aggregate traffic patterns — you can opt out via your browser or a privacy extension.

We do not use third-party advertising cookies, retargeting pixels, or cross-site trackers.

Children

The Service is designed for commercial janitorial operators. It is not directed to children under the age of 13, and we do not knowingly collect personal information from anyone under 13. If you believe a child has provided us with personal information, please contact us and we will delete it immediately.

Changes to this policy

We may update this privacy policy from time to time. If we make material changes we will notify you by email (if you have an account) and by posting a prominent notice on our website at least 14 days before the changes take effect. The "Last updated" date at the top of this page always reflects the most recent version.
